ABOUT THE FACILITY
A Rooftop Aquatic Destination in the Heart of West Hollywood
Located above the West Hollywood Park parking structure, the City of West Hollywood Aquatic & Recreation Center is one of Southern California's most distinctive municipal aquatic facilities. The year-round complex features a 10-lane competition pool, a recreation and instructional pool, and serves swimmers of all ages through public recreation, fitness, lessons, and competitive programming.

Supporting those operations requires consistent communication, organized documentation, and systems that keep staff focused on safety instead of paperwork.
THE CHALLENGE
When Paper Gets in the Way of Operations
Like many aquatic facilities, West Hollywood relied on paper forms for inspections, training records, incident reports, water testing, and operational documentation.

While the system worked, it required staff to manage countless binders, filing cabinets, and handwritten records. Retrieving information could take significant time, especially when records were needed quickly.

That reality became especially clear after a legal request required staff to locate years of operational documentation.

The experience reinforced an important question:
What if every operational record lived in one place?

THE SOLUTION
One Connected System for Daily Operations
West Hollywood implemented HydroApps to centralize the documentation that keeps aquatic operations running every day.

Instead of relying on separate paper forms, supervisors and staff now complete inspections, water tests, training records, incident reports, and operational checklists within one connected platform.

Whether documenting a pool inspection, reviewing a staff certification, or looking up an incident report from months earlier, information is available when it's needed.

"Having it all in one place is a huge advantage."
OPERATIONAL IMPACT
More Than Going Paperless
Moving away from paper didn't just make documentation digital. It helped create stronger, more consistent operational systems that support staff, supervisors, and the facility every day.
Centralized Documentation
Operational records, inspections, staff information, incident reports, and water testing are organized in one connected system, making information easier to find and easier to manage.
Greater Accountability
Digital workflows create consistent expectations for staff while giving supervisors better visibility into completed tasks, operational trends, and daily performance.
Improved Operational Efficiency
By reducing paperwork and eliminating time spent searching for records, staff can focus more on managing the facility, supporting their team, and serving guests.
Workflows Built Around the Facility
Instead of changing their processes to fit software, West Hollywood customized HydroApps to support programs like daily training sign-ins and Vigilant Voice, creating digital workflows that reflect how their operation actually runs.
BUILT AROUND THEIR OPERATION
Technology That Adapts to the Facility
Every aquatic operation has unique programs and procedures.

Rather than forcing staff into rigid workflows, West Hollywood customized HydroApps to support the way their team already works.

Daily staff training attendance, operational observations, and the facility's Vigilant Voice peer recognition program all became part of their digital workflow, making these important initiatives easier to manage, review, and improve over time.
